We’re looking for a structured, proactive operator to coordinate office structure, project operations and manage marketing follow-through.
What You’ll Do
1. Proposals & Contracts
Assist with drafting client proposals
Turn approved proposals into contracts and manage all legal coordination
Liaise with client and internal legal teams, track revisions, and ensure timely sign-off
Monitor key contract milestones and obligations
2. Operations Support & Data Coordination
Receive performance and efficiency reports from Finance Department
Share key insights with teams and founders to support informed decision-making
Flag issues early for resourcing, delays, or financial risks.
Keep internal comms clear and focused with regular status updates.
Assist project teams by monitoring project workflows, anticipating busy periods and deadlines, collating drawings and technical documents
Ensure a logical, systematic approach to the management of information within the project team
Manage time tracking software.
3. Marketing & Project Promotion
After project delivery, coordinate photography, gather project descriptions, and prepare content
Pitch projects to media outlets and awards
Oversee the firm’s social media, either directly or by managing an external partner
Maintain a calendar of PR and visibility opportunities
Manage studio’s marketing material and social media channels, press requests and assist with website maintenance.
